Before mobilization
- Flow down the project PWA clause and reporting cadence.
- Collect the legal company name, EIN, payroll contact, and escalation contact.
- Confirm intended classifications and the wage determination supplied by the project.
- Confirm apprenticeship expectations and registered-program access.
- Provide the forms, naming convention, and internal deadline before first payroll is due.
Every week
- Receive payroll by an internal deadline earlier than the upstream deadline.
- Check the package for completeness before reviewing wage details.
- Require worker identifier, classification, hours by classification, wage, and fringe information as directed by the project.
- Collect apprentice program evidence, hours, ratio support, and written request evidence when applicable.
- Return incomplete packages immediately with a written deficiency list.
Track the package, not just the email
Use a lower-tier roster with one owner and one status for each company. Log the last payroll received, open deficiency, correction due date, and where the accepted package is stored.
At closeout, the roster should make missing weeks and unresolved exceptions obvious without opening every folder.
